Timvo guide

Step-by-step instructions for freelancers and agencies. Bookmark this page — it covers every major feature.

Sign in to run the interactive setup tour inside the app.

Getting started

Create your workspace and log your first hour.

  1. Open Settings and add your business name, logo, and invoice defaults.
  2. Create a Client, then a Project with an hourly or fixed rate.
  3. Use the sidebar timer or go to Logs → Add manual entry.
  4. When you’re ready to bill, open Invoices → Create from unbilled time.

Tip: Your dashboard shows unbilled total and this week’s hours at a glance.

Time tracking

One clock everywhere you work.

  1. Sidebar timer: pick client & project, Start, Stop — entries sync to Logs.
  2. Manual logs: edit duration, description, billable flag, service, and task.
  3. Slack: connect in Settings, then use /timvo start and /timvo stop in DMs.
  4. Desktop (Solo/Team): menubar timer + full workspace; same data as web.

Clients & projects

Structure work the way you invoice it.

  1. Clients hold contact info, currency, tax, and optional retainer settings.
  2. Projects belong to a client; set hourly rate or fixed fee per project.
  3. Tasks live under Services — optional tags for detailed reporting.
  4. Share a project to an agency org when you’re on their roster.

Services & rates

Reusable billing codes for your work.

  1. Define services (e.g. Design, Development) with default hourly rates.
  2. Attach services to time entries for clearer invoices.
  3. Reports use service breakdowns for effective-rate insights.

Invoices & payments

From tracked time to paid invoice.

  1. Create invoice → select client → pull unbilled billable logs.
  2. Edit line items, tax, footer, and payment terms before sending.
  3. Email the invoice; client pays via Stripe link on the public invoice page.
  4. Mark paid manually if you receive payment offline.

Reports & goals

Know what you’ve earned and what’s still unbilled.

  1. Dashboard: unbilled total, week heatmap, income vs goal.
  2. Reports: revenue by client/project, effective hourly rate.
  3. Set target hourly rate and annual income goal in Settings.

Client portal

Let clients see their project time (read-only).

  1. From a client, invite them to the portal by email.
  2. They sign in and see shared projects and time — no editing.
  3. Useful for retainers and transparency without sending PDFs.

Working with agencies

When an org assigns you work.

  1. Accept org contractor invite from email or Settings → Agency connections.
  2. Assigned projects appear as Org · Client in your timer and client list.
  3. Submit timesheets to the org when they request weekly approval.
  4. Your solo clients and org work stay separate but share one login.

FAQ

Can I use Timvo for free?
Yes — the Free plan includes limited clients and projects. Paid Solo and Team plans unlock invoices, Slack, and desktop.
What happens when I join an agency?
You keep your solo workspace. Org-assigned projects appear alongside your own clients in the timer.
How do I restart the setup tour?
Open Guide in the sidebar and click Restart setup tour. The interactive walkthrough will appear again on your next page load.
